About the Organization
Development for Peace Organization (DPO) is an Ethiopian civil society organization established in 2020 with a mission of striving to meet the humanitarian and developmental needs of societies regardless of race, color, religion or cultural background. The organization is legally registered to work in Ethiopia (Reg. 5164), South Sudan (Reg. 4178), Kenya (OP.218/051/22-400/12732 and Somalia (Reg. NGOD/Moifar0422/022); it is also processing its registration in Yemen.
Job Summary
The role holder is responsible for handling the general office operations, including but not limited to answering any correspondence coming to the organization, welcoming and greeting guests/customers, keeping the reception area tidy and well organized, and Updating directories and personnel lists.
Duties and Responsibilities
- Maintain a clean and organized reception area,
- Warmly Greet visitors, determine their needs, and provide appropriate assistance,
- Answer incoming calls and direct them to the appropriate person or department,
- Assisting with scheduling and coordinating appointments,
- Receive, and sort calls, SMS, mail, and deliveries and distribute them to an appropriate staff member,
- Provide administrative support, such as secretarial service, filing copying, and data entry,
- Updates phone directories and personnel lists as necessary,
- Assist with other administrative tasks and special tasks as assigned,
- Prepare and distribute internal and external correspondence,
- Maintaining accurate records of files,
- Performing other related duties as assigned by immediate supervisor /senior management.
Reports to:HR officer.
Job Requirements
Min. Education
- BA Degree in Secretarial Science, Office Management/ Management.
Experiences
- Minimum 2 years professional experience in a similar position, NGO/INGO Experience is Preferable
Essential Competencies& Skill
- Customer service orientation,
- Professional personal presentation,
- Information management, reliability, take initiative,
- Excellent time management & organizational skills,
- Basic skills in using MS Word, Excel, and Internet Explorer
Language Requirements
- Excellent command of verbal and written communication both in Amharic and English language.
